Why payroll is weirdly tricky for web/hosting businesses

Contractor payments are first-class. Most payroll providers treat contractors as an afterthought. Gusto has a separate Contractor-only plan ($6/month per contractor, no employer needed), and it generates and files 1099-NECs automatically at year-end. If you have 5+ contractors and you’ve been pulling W-9s and tracking payments in a spreadsheet, this alone justifies the switch.

Multi-state handling is automatic. As soon as you have an employee in a new state, Gusto handles the state tax registration, withholding setup, and unemployment insurance filing. For agencies hiring remote, this saves real headaches.

The QuickBooks Online sync actually works. Most payroll-to-accounting integrations are half-baked. Gusto’s QBO integration syncs payroll journal entries with proper account mapping — wages, employer taxes, and contractor payments all hit the right accounts. Month-end reconciliation goes from “annoying chore” to “five minutes.”

S-Corp owner payroll is straightforward. If you’re a developer or agency owner taking an S-Corp salary, Gusto handles the W-2 mechanics cleanly.   • The mobile admin app is weaker than the web UI. Run payroll from a laptop.
  • If you have 100+ employees with serious multi-state complexity or unionized workforces, you’ll outgrow Gusto eventually.

For most agencies and hosting businesses under 50 people, none of those are dealbreakers.
